Copyediting Transmittal Letter — Convergence/Rhetoric Submission

ENC 4212 – Professional Editing

This transmittal letter accompanied a full copyedit of an academic essay submitted to the Convergence/Rhetoric journal. Our team of three editors reviewed the manuscript for grammar, clarity, MLA formatting, and alignment with the journal’s style guide. I drafted the final letter on behalf of the group.

Dear Author and Editorial Board,

Attached is your essay submission with our group’s edits and comments marked using Microsoft Word’s Track Changes and Comment Pane. As a group, we carefully reviewed your work with attention to grammar, punctuation, MLA formatting, consistency, completeness, and alignment with the Convergence/Rhetoric style guide.

Our major revisions include:

  • Adjusting formatting—font size, margins, indentation, and block quotes—to follow journal guidelines.
  • Refining sentence flow and replacing repetitive word choices to improve clarity and cohesion.
  • Correcting in-text citations and Works Cited entries for MLA formatting (e.g., punctuation, titles, and date formatting). We have referenced the Purdue OWL MLA guide throughout this process to ensure accuracy.
  • Removing overuse of parenthetical citations where the source was already clear from the context.

We also conducted a final review to ensure consistency across all rounds of editing and confirm that Track Changes and formatting were used appropriately. Citation edits were made silently, as required, while all other changes remain visible. Queries and suggestions have been left in the comments for your consideration.
